Bristol Sport Foundation is looking for an administrator to join our developing team. This is a great opportunity to work in an award-winning charity by supporting a growing team of coaches and staff to deliver life-changing programmes and services for some of the most disadvantaged communities of Greater Bristol.

Bristol Sport Foundation is a charitable organisation that uses the power of sport and physical activity to inspire the communities of Bristol. We use the reach of the Bristol Sport group and professional clubs to connect the City and help make Bristol an ACTIVE, HEALTHY and HAPPY City.

Desirables. We are also looking for:

  • Experience of Client Relationship Management
  • Experience of using online Client Relationship Management system
  • Experience of sport development (including processing Disclosure & Barring Service clearances)
  • A willingness to learn new skills and to adapt as the needs of the charity develop
  • A willingness and ability to take on new responsibilities as necessary
  • Experience of taking ‘minutes’ in meetings


MAIN PURPOSE OF THE ROLE

To offer full administrative support to the staff at Bristol Sport Foundation assisting them to fully and efficiently deliver their duties. This is a progressive role which will develop over time as the organisation grows.

General Administrative Duties:

  • Customer service. To provide a high level of customer service when dealing with internal and external stakeholders
  • Telephone sales and general enquiries. To manage incoming calls, manage and resolve answerphone messages and to assist in the booking and upselling of BSF products through the online booking system
  • Managing incoming emails. To monitor and address incoming emails and enquiries in a prompt and professional manner
  • Data capture and systems management. Working with charity staff to capture and manage monitoring & evaluation data such as online registers, throughput and output numbers, educational outcomes and other data as required
  • General administrative support. To supply general administrative support to BSF staff as and when required
  • Supporting the coaches. To ensure all community coaches have access/copies of all paperwork/files required in the delivery of their duties 

Job Specific Duties:

  • Operating Human Resource processes. To implement our standard operating procedures such as onboarding processes, contract amends, staff checklists, online bookings and payments and continued professional development 
  • Minimum standards criteria. To ensure all community staff and volunteers hold and renew the required minimum standard criteria qualifications/licences. To process, upload and monitor all minimum standards criteria (including Disclosure & Barring Service clearance) to the online systems to ensure all qualifications are valid 
  • Taking minutes. To attend and take minutes at official meetings on a quarterly basis or as required by the trustees
  • Stationery and delivery equipment. To liaise with relevant BSF staff to ensure all equipment required for the office and administrative duties is well maintained and stocked 
  • Office management. To manage the cleanliness of the BSF office and to ensure that stationery and resources required are kept stocked and stored in good working order

DETAILS

  • Location: Office based at Ashton Gate Stadium, Ashton Road, Ashton, Bristol. BS3 2EJ
  • Working hours: 37.5 per week. Weekdays from 9am – 5pm with an unpaid 30-minute lunch
  • Contract type: Permanent employment contract including a three-month probation period
  • Salary: £21,000 – £24,000 dependent on qualifications, experience, and strength of application
